Every Tuesday, offices from around the Provident Financial Group collectively print over 1.2 million A5 sheets of paper. The UK based financial services company has more than 300 regional offices and 10,500 local agents, and the sheets of paper form a collection list, which plays a crucial role in tracking business operations. With every agent receiving an A5 list to keep accurate records of weekly repayments collected against small loans made to clients, the company rarely kicked off the day smoothly. Imagine the pain of office workflow being slowed down by the existing infrastructure throughout the business, showing signs of sub-optimal performance delivered by an aging device infrastructure from multiple manufacturers.
It was time for them to make a decision.
It’s Time for an Optimized Fleet of Office Printers
Samsung was asked to support and build a tailored solution to address the company’s daily printing challenge: a fast and reliable printer fleet that enables the company to provide a simple, manageable print service at all times across their business.
Provident required a robust printer fleet capable of handling an exceptionally high daily volume of A5 prints. Samsung was able to provide a customized firmware solution that successfully optimized the printing process required by the client. Various devices were also tested to find the optimal devices to meet the company’s needs, and Samsung’s were the only ones that passed the test.
To verify the findings and confirm that the proposed fleet solution would provide the required solution, a one-month trial was implemented at the company’s Halifax and Raynham office. It took the newly installed devices just two days to gain the support and recommendation of the office staff and management.
Finally, a suite of 616 multi-functional printers comprising Samsung’s MultiXpress 8385ND color devices and MultiXpress 6545ND mono devices was installed across all regional offices. Both models were equipped with powerful printing, scanning and faxing capability.
The newly deployed range of devices received a high level of staff satisfaction. “For one thing, they print without constantly breaking down,” said Jan Dawson, Office Supervisor at the Halifax office. “Second, the volume goes through really quickly, and third, we don’t have to stand next to them and keep refilling the tray or sorting paper jams. And they’re also much quieter and neater than what we had before, too.”
Seamless Office Workflow and Cost Savings
The company’s management team was also satisfied. With the change, they were able to achieve the following savings:
- 100% improvement on efficiency
- 70% reduction in help desk calls
- 40% reduction in total print expenditures (including servicing)
- 50% reduction in paper cost and wastage
Provident knows that fast and reliable printers should never be taken for granted. Changing a printer fleet can be a big step, but with the right solution, the ROI can be even bigger, both in terms of faster work flows and steep reductions in costs.
