Susie works at a branch of “Worry-Free Insurance Group” as an administrative assistant. Her job entails processing contracts and claims, which can amount to hours of document handling per day. Printing, copying, scanning, e-mailing—you name it, and Susie’s job is to manage it all. See how she uses the MultiXpress X7600GX in her office.
Susie’s Day at Work
Susie processes two main types of documents: contracts and claim requests. At her branch, the sales team is in charge of customer acquisition, getting new contracts signed, and the claims department processes clients’ claim requests, forwarding them to the company’s headquarters. Susie’s job is to digitize these documents and send them to the teams that need them.
Easier Contract Processing with Automatic Digitization
Throughout the day, the sales team gives signed contracts for Susie to process. She scans these originals and has the MultiXpress X7600GX auto sort them into each client’s folder. The multifunction printer’s zone OCR* and barcode recognition technology reads the number and barcodes on each page. All Susie has to do is assign a code to a client, and the printer takes cares of the sorting.
*OCR = optical character recognition, technology that converts printed text into machine-encoded text, allowing automatic digitization of hard-copy text
Scanning and Distributing Claim Requests with One-Touch Functions
Claim requests come in by mail or fax, and as with any hard-copy document, these need to be digitized and saved on the company server. Susie is also in charge of e-mailing claim requests to headquarters, where the screening and evaluation process happens.
With the Smart UX Center’s Dynamic Workflow app, Susie can take care of scanning, OCR sorting, saving, and sending all in one go without returning to her computer. Basically, she chooses the apps she needs and has them run one after the other. With Scan & Send and OCR combined in her workflow, she can have hard copies scanned, sorted, saved on the server, and e-mailed to headquarters as attachments all in one step.
Also with the Smart UX Center, Susie uses SecuThru Lite 2 to password-protect print job releases. The company receives and handles clients’ personal information on a daily basis, making document security a top priority. If a password is required to release a print job, Susie can worry less about sensitive information falling into the wrong hands.
Some days are tough on Susie, especially when the sales team is on a roll with contract signing. But she’s thankful that the MultiXpress X7600GX shoulders some of the paperwork burden for her.
