Modern business owners realize that enterprise longevity – and growth – necessitates continuous technological upgrades. But when a company with diverse document archive requirements decides to go digital, the process can sometimes be arduous.
In the case of Franceschi, an Italian car dealer, the need to digitize became pressing. The company was founded as a small garage in the late 1950s and has steadily grown into what it is today: one of the most significant Opel, FCA and Chevrolet dealerships in Trento, Italy – as well as a leading local name in auto inspection, car parts and accessories.
But with a little help from Samsung and its Italian partner Semprebon-Lux, Franceschi has now found a way to modernize its document management operations – entering a new era of business efficiency.
As Franceschi has grown, so has the amount of paperwork its staff has to deal with. And while small garages can easily store documents in a backroom office, large, multi-branch dealerships like Franceschi know they simply can no longer get by with analog document management systems.
Marco Dallapè, Franceschi’s Commercial Manager, explains, “Paper documents, like vehicle registration forms, are a necessity in our industry. We needed to reduce the time and resources it took to archive all this documentation. And, more importantly, we needed to speed up the search process – and eliminate the possibility of error.”
Franceschi’s search for effective document archiving solutions led it to Semprebon-Lux and Samsung, parties who, per Dallapè, seemed “capable of offering innovative and personalized solutions.”
Paolo Porrelli, commercial director at Semprebon-Lux, says his company recognized that Franceschi’s document management needs were unique and thus required a specially tailored solution.
Semprebon-Lux therefore opted to suggest using Samsung’s Smart UX Center-powered multi-function printers (MFPs), in conjunction with a Scanshare solution that could be effortlessly integrated with the Samsung hardware. This combination, as Porrelli puts it, allowed the dealer to “best manage Franceschi’s document flows during its scanning and archiving processes.”
With the customizable, Android-powered Smart UX Center, ISV solutions like Scanshare can be incorporated on Samsung MFPs with a minimum of fuss, providing both end-users and dealers enormous scope for customization.
Semprebon-Lux’s Samsung MFP-based solution has both simplified and sped up Franceschi’s handling for all types of commercial documentation. “In a multi-branch entity, real-time control over error-free files is fundamental,” notes Porrelli.
For Franceschi, teaming up with Samsung and Semprebon-Lux has paid dividends – in terms of document management and beyond. Sales staff can now quickly identify themselves within an intuitive system and choose their individual folders to save the scanned files. Their scanned documents are automatically named and classified by document type using barcodes on the document, creating a workflow that integrates seamlessly with the auto dealership’s management system.
Dellapè notes, “With this solution, there’s less work for our employees. Searches are also faster, we enjoy real-time control over every document and, most importantly, there is no possibility of error. That all spells improved efficiency – as well as better service for our clients.”
Franceschi staff can even use the Samsung-powered system to file vacation requests, doing away with old-fashioned paper documents. Porrelli explains, “Thanks to Samsung MFPs’ large touchscreen interface and the versatility of this hardware, it was easy for us to intuitively devise a solution for HR, too.”
The vacation-registration solution lets Franceschi employees log personalized requests using unique barcodes. Employees can sign the paper form previously personalised by a unique, identifying barcode and scan it by pressing the VACATION button. These files can then be instantly emailed to HR managers, approved and digitally archived – without the need for paper or physical folders.
And using options like Smart Service app and Account Status widget, Semprebon-Lux can ensure Franceschi is always adequately stocked with print-related consumables – and remain on hand with technical support.
Gearing up for Growth
Franceschi’s Samsung MFPs have simplified and improved the dealership’s HR management and archiving operations – meaning the Italian company is now hoping to take the next step in its business journey. Dellapè says, “We believe that these changes should represent the start of an increasingly interconnected, automated ecosystem. It will let us remain at the cutting-edge of car dealership, and become a point of reference in the Trento area.”
